Operations Assistant

We’re currently seeking a part-time Operations Assistant to provide administrative support in all areas of our work both internal and external to the organization. This is an entry level role and is a new position being added to the team.

Founded in 2014, Green Owl Consulting provides virtual bookkeeping, CFO, and HR services to nonprofit and socially-conscious organizations. We work with small and medium sized organizations providing support in areas like accounting & finance, HR, and operations management. Our goal is to enable organizations to spend their time pursuing their mission rather than on managing business operations.

The Role

Reporting to the Managing Director, the Operations Assistant will work remotely for about 15 hours per week with hours expected to grow (if desired) in conjunction with the growth of our organization. They will have the ability to set their own schedule, however they must be available for regular meetings with the Managing Director, other Green Owl staff, contractors, and clients as necessary.

This position requires frequent computer usage as well as occasional phone usage. While performing the duties of this job, the Operations Assistant will be regularly required to operate a computer and participate in conversations via video and phone for long periods at a time. Characteristics of a Strong Candidate

We are searching for someone who cares deeply about social and environmental justice, and who maybe prefers working behind the scenes performing administrative and support services. A person that we may consider a good candidate will have strong organizational skills for their own work and the work of others. They should be comfortable in a changing environment and have strong written communication.

Specific Responsibilities

  • Support with requesting information and documents from clients

  • Become highly fluent in the use of our project management app (ClickUp) in order to create and track workflows related to current clients, prospective clients, and internal operations as needed

  • Assist Green Owl staff in tracking urgent and high priority tasks

  • Document organizational workflows and processes

  • Support the Green Owl team with ad hoc projects as necessary

  • Perform general administrative support and clerical duties throughout the organization

  • Maintain and organize both internal and client Google Drive files

  • Collect and compile standard client data as needed including contact information, information related to mission and programming, and public financial documents

  • Assist Green Owl staff in preparing for meetings with current clients, prospective clients, and internally by creating meeting materials, taking notes, providing live support during meetings, and ensuring follow up items are assigned

  • Support new client onboarding to ensure the process is efficient, effective, and easy for clients

Required Qualifications

  • Interest in and enthusiasm for supporting social and environmental justice work

  • A willingness to engage in ongoing anti-racism and anti-oppression work

  • Strong written communication skills with a focus on clarity and an ability to adapt language depending on the audience

  • Strong attention to detail

  • Ability to learn new technologies and apps quickly

  • Experience and comfort using any project management app (ClickUp, Asana, Trello, Notion, Monday, etc)

  • Flexible and ability to adapt to frequently changing environments

  • Ability to maintain confidentiality with sensitive information

  • Ability to work autonomously and to work to deadlines

Preferred Qualifications

  • Experience using Google GSuite and/or Microsoft Office

  • Experience and comfort with apps frequently used by remote teams (especially Zoom, Slack, 1Password, and ClickUp)

  • Ability to manage a project from inception to completion

  • Interest in and ability to organize efficient systems

  • Prior administrative, operations, or office experience
